Quick answer

Nextcloud hosting means running the open-source Nextcloud Hub on your own server to get Google Drive or OneDrive-style file sharing, sync, calendars, collaborative editing and video calls while keeping control of your data. Nextcloud needs PHP, a database (MariaDB, MySQL or PostgreSQL), APCu and Redis for caching, and a cron job running every five minutes. A VDS server with dedicated cores, whose resources can grow with your users and storage, is a balanced foundation for Nextcloud.

What is Nextcloud hosting and why run your own cloud?

Nextcloud hosting means running the Nextcloud software on a server under your control to build a private cloud for your company or family. Nextcloud Hub brings file sync and sharing (Files), collaborative document editing (Nextcloud Office), video calls and chat (Talk), calendar, contacts and tasks together in one interface.

The main reasons to run your own Nextcloud server are:

  • Data control: Your files stay on a server you chose, in a data center in Türkiye, rather than with a third-party cloud provider.
  • No per-user fees: Nextcloud is open source; the cost depends on server resources, not the number of users.
  • Unlimited customisation: You can install hundreds of add-ons from the app store and connect your own authentication system (LDAP, Active Directory).
  • Standard protocols: Thanks to WebDAV, CalDAV and CardDAV it works with desktop, mobile and calendar clients.

For organisations that process personal data, data location and access logs are directly tied to legal obligations under data protection laws such as the GDPR or Türkiye’s KVKK. Because all Nextcloud components need full root access and always-on services, the right environment is a VDS server or, for large installations, a dedicated server.

What are the Nextcloud system requirements?

Nextcloud’s current administration manual supports PHP 8.3, 8.4 and 8.5 and recommends PHP 8.5; it asks for MariaDB, MySQL or PostgreSQL as the database and limits SQLite to testing and very small installations. PHP needs at least 128 MB of memory per process, with 512 MB recommended; the built-in updater needs at least 256 MB. Because supported versions change with every major release, check the manual for your own Nextcloud version before installing.

ComponentAccording to the current manual
PHP8.3, 8.4, 8.5 (8.5 recommended)
MariaDB10.11, 11.4, 11.8 (recommended), 12.3
PostgreSQL14–18 (18 recommended)
MySQL8.4 or 9.7
Web serverApache 2.4 or Nginx + PHP-FPM
CacheAPCu and Redis

On the PHP side, curl, gd or imagick, intl, mbstring, xml, zip, bcmath, gmp and the PDO driver for your database must be present. After installation, the Administration settings → Overview screen lists missing extensions, wrong settings and missing database indices as warnings; clearing this screen is part of the installation.

Nextcloud All-in-One or manual installation?

There are two common ways to install Nextcloud on a server: the official Nextcloud All-in-One (AIO) Docker installation, and a manual installation where the web server, PHP, database and Redis are installed one by one. AIO is fast and easy to maintain; a manual installation gives full control over every component.

CriterionAll-in-One (Docker)Manual installation
Setup timeShort; one container manages all componentsLong; each component is configured separately
Office, Talk, antivirusSwitched on and off from the interfaceInstalled separately
BackupsBuilt-in BorgBackup-based backupsWith your own script
UpdatesFrom the interface, together with componentsNextcloud and system packages separately
CustomisationLimitedFull

If your server administration experience is limited or you want to enable Office and Talk quickly, AIO is the right start. For enterprise installations that connect to an existing LDAP setup, a dedicated database server or object storage, a manual installation is more flexible. For more on container-based servers, see Docker hosting.

How many resources does Nextcloud need per number of users?

Nextcloud’s resource needs are driven less by user count than by concurrent activity: clients syncing at the same time, documents being co-edited and video calls. Two dedicated cores and 4 GB of memory are enough for a ten-person office, while eight cores and 16 GB of memory is a realistic start for a 50–150 person team actively using Nextcloud Office and Talk.

When planning resources, take these components into account:

  • PHP-FPM: Each sync request uses a PHP process, and desktop clients poll the server regularly in the background. Set the process count in line with memory.
  • Nextcloud Office (Collabora Online): Each open document uses its own memory and CPU; with heavy co-editing, this is the most resource-hungry component.
  • Talk: In small calls participants connect directly; large meetings require the high-performance backend and extra resources.
  • Preview generation: In photo- and video-heavy use, thumbnail generation strains the CPU.
  • Database and Redis: As users and files grow, the file cache table grows; beyond 150 users consider moving the database to a separate server.

Because cores and memory on a VDS can be increased from the panel, you can start small and grow as needed.

How do you plan storage for Nextcloud?

Nextcloud storage is planned by adding file versions, trash, preview files and growth headroom to the sum of user quotas. Allocating only as much disk as the quota total leads to a full disk within a few months; in practice, leave at least 30% headroom above the quota total.

  • File versions (Versions): Older versions of every changed file are kept. Nextcloud tries to keep versions from taking more than half of the user’s available free space; even so, space fills quickly with large, frequently edited files.
  • Trash (Deleted files): Deleted files are kept for a while by default and count towards the quota; you can set the retention period with the trashbin_retention_obligation setting in config.php.
  • Previews: In photo archives, thumbnails take up considerable space.
  • Data directory: Keep the data folder outside the web root and, if needed, on a separate disk.

Disk performance is felt directly in Nextcloud: syncing thousands of small files and database operations need high IOPS, and the NVMe disks in LIONFIN VDS plans handle this load comfortably. For large archive data, you can attach SMB, SFTP or S3-compatible storage with Nextcloud’s External Storage app and keep frequently used files on the NVMe disk.

How do you improve Nextcloud performance?

The four settings with the biggest impact on Nextcloud performance are a local cache with APCu, file locking and distributed caching with Redis, background jobs with system cron, and enough OPcache memory. Without these settings, a Nextcloud installation slows down noticeably as users grow and throws “file locked” errors.

  1. Cache: In config.php, set APCu for memcache.local and Redis for memcache.distributed and memcache.locking.
  2. Background jobs: Choose “Cron” in the administration settings and add this line for the web server user:
    */5 * * * * php -f /var/www/nextcloud/cron.php
The default AJAX mode runs jobs only when someone opens a page and falls short on large installations.
  3. OPcache: The overview screen warns if OPcache memory or interned_strings_buffer is insufficient; apply the recommended values.
  4. Database indices: Run occ db:add-missing-indices after updates.
  5. Previews: In photo-heavy installations, an app that pre-generates previews in bulk at night reduces daytime load.
  6. HTTP/2 and compression: Enable HTTP/2 on the web server; it reduces the overhead of many small requests.

How do you run Nextcloud Office and Talk?

Nextcloud Office is a collaborative document editing service based on Collabora Online and runs as a server component separate from Nextcloud; Talk is the chat and video call app and needs a TURN server for users behind firewalls. Both components can use more resources than Nextcloud itself.

  • Nextcloud Office: Enabled with one click in an AIO installation; in a manual installation, you install Collabora Online as a separate container or package and enter its address in Nextcloud’s Office app. Word, Excel and PowerPoint formats are edited in the browser. OnlyOffice integration can be used as an alternative.
  • Talk and TURN: For users on corporate networks and mobile carriers to join calls, a TURN server such as coturn is required; it uses port 3478 by default, and this port must be open in the firewall.
  • Large meetings: As participants grow, a setup where every participant connects directly to all others does not scale; a high-performance backend (signaling server) must be installed.

Video calls are bandwidth-heavy; the 600 Gbit/s total upstream capacity of the LIONFIN infrastructure leaves network headroom at busy hours. For call quality, it matters that the server is close to your users; for teams in Türkiye and the surrounding region, a server hosted in Türkiye has an advantage here.

How do you keep a Nextcloud server secure?

The foundations of Nextcloud security are HTTPS and HSTS, two-factor authentication, keeping the data directory outside the web root and staying on current versions. Nextcloud includes built-in brute-force protection, but server-level measures are your responsibility.

  1. HTTPS and HSTS: Get a Let’s Encrypt certificate, redirect HTTP to HTTPS and enable the HSTS header; the overview screen warns if it is missing.
  2. Two-factor authentication: Install the TOTP app and make it mandatory for all users, administrators first.
  3. Data directory: The data folder should be on a path that is not reachable from the web.
  4. Firewall: Open only 22, 80, 443 and, if you use Talk, the TURN port; set up Fail2ban for SSH.
  5. Sharing rules: Require a password and expiry date for public links.
  6. Updates: Apply Nextcloud, app and operating system security patches regularly; check your installation periodically with Nextcloud’s security scanner.

Server-side encryption encrypts files on disk but reduces performance, complicates backup and restore, and data cannot be recovered if the keys are lost; consider whether you really need it before turning it on. Versioning and off-server backups are the most effective protection against ransomware.

How do you back up and update Nextcloud?

A Nextcloud backup has four parts: the config folder (especially config.php), the data directory, a database dump and custom themes. For a consistent backup, turn on maintenance mode first, then copy the files and the database at the same time.

sudo -u www-data php occ maintenance:mode --on
rsync -a /var/www/nextcloud/config /var/www/nextcloud/data /backup/nextcloud/
mysqldump --single-transaction nextcloud > /backup/nextcloud/db.sql
sudo -u www-data php occ maintenance:mode --off

In an AIO installation, the built-in BorgBackup-based backup does these steps for you and stores backups encrypted and incrementally. Whichever method you choose, a copy of the backup should be off the server and restores should be tested periodically. Taking a server snapshot before major updates gives you a way back within minutes.

The most important rule for updates: Nextcloud major versions cannot be skipped; if you are several versions behind, you must upgrade to each major version in turn. You can update with the updater in the web interface or with occ upgrade on the command line; the command line is preferred on large installations because it does not time out. Before updating, check that the third-party apps you use are compatible with the new version.

How do you use Nextcloud with desktop, mobile and email?

Besides the browser, you connect to Nextcloud with the official desktop client for Windows, macOS and Linux and the mobile apps for Android and iOS; calendars and contacts sync to the phone’s built-in apps via CalDAV and CardDAV. This way users can use the company cloud without giving up the tools they are used to.

  • Desktop client: Syncs selected folders with the computer; the virtual files feature on Windows and macOS saves disk space by downloading files only when they are opened.
  • Mobile app: Provides automatic upload of photos and videos; this should be factored into the storage plan.
  • WebDAV: File managers and backup software can connect to Nextcloud via its WebDAV address.
  • Calendar and contacts: Shared calendars and address books can be shared within the team.

Nextcloud is not a mail server; the Mail app is a client that connects to an existing IMAP/SMTP account. For company email, you can use Nextcloud alongside a service such as xMail, which offers domain-based email with calendar and contact sync. For Nextcloud’s sharing notifications and password-reset emails, define an authenticated SMTP account in the administration settings; otherwise notifications may land in spam.

How do you migrate from Google Drive, OneDrive or another Nextcloud?

When moving from another cloud service to Nextcloud, files, sharing structure, and calendars and contacts are migrated separately; when moving an existing Nextcloud installation to a new server, the data directory, configuration and database are transferred together. In both cases, migrating in user groups and over a weekend reduces disruption.

  • From Google Drive and OneDrive: Download files with the provider’s export tool and copy them into the folder synced by the Nextcloud desktop client, or for large archives upload the files to the server via SFTP and register them with Nextcloud using occ files:scan. Calendars are exported as ICS and contacts as vCard, then imported into Nextcloud.
  • From Nextcloud to Nextcloud: Put the old server into maintenance mode and move the config and data folders with rsync and the database as a dump. Install the same Nextcloud version on the new server, place the data and update the database and path details in config.php.
  • Shares: Share links from another service are not carried over; recreate important shares after the migration.

Lower the TTL before changing the DNS record last, so clients switch to the new server quickly.

What are the most common Nextcloud problems?

The most common Nextcloud problems are the trusted domain error, large file upload limits, file locking warnings, a cron that does not run, and files copied directly to the server not appearing. Error details are in the data/nextcloud.log file and on the log screen in the admin panel.

  • “Access through untrusted domain”: Your domain is not in the trusted_domains list in config.php; add it.
  • Large files will not upload: client_max_body_size in Nginx, or upload_max_filesize, post_max_size and timeout values in PHP are too low. Although browsers and clients use chunked uploads, these limits still need checking.
  • “File is locked” errors: Transactional file locking is happening in the database instead of Redis; set Redis as memcache.locking.
  • “Last background job execution ran a long time ago”: System cron has not been set up or runs as the wrong user.
  • Files added via SFTP do not appear: Update Nextcloud’s file cache: occ files:scan --all.
  • Stuck in maintenance mode: If an update was interrupted, finish it with occ upgrade before running occ maintenance:mode --off.

For server-related problems you cannot solve, adding the relevant lines of the log file to your support request speeds up diagnosis.

FAQ

Frequently asked questions about Nextcloud Hosting

Because Nextcloud technically runs on PHP, it can be installed on some shared environments, but it is not practical since Redis, system cron, large upload settings and components such as Office and Talk cannot be installed. For a permanent company cloud, a VDS with full root access is recommended.

Nextcloud’s manual asks for at least 128 MB of memory per PHP process, with 512 MB recommended. For the server as a whole, 4 GB for up to ten users and 8 GB for up to fifty users are realistic starting values. If Nextcloud Office and Talk are actively used, memory needs rise significantly.

Yes. Nextcloud offers the core features such as file sync, share links, collaborative document editing, calendar and contacts, and works with desktop and mobile clients. The difference is that the data stays on your server and maintenance is your responsibility.

Nextcloud supports MariaDB, MySQL and PostgreSQL; the current manual lists MariaDB 11.8 and PostgreSQL 18 as recommended versions. MariaDB is common and trouble-free for small and mid-sized installations. SQLite is only suitable for testing and very small installations and should not be used in production.

Nextcloud All-in-One is the official installation method that deploys Nextcloud and components such as Office, Talk, backup and antivirus as Docker containers and updates them from a single management interface. It is the fastest and easiest-to-maintain route for those with limited server administration experience.

First check the space taken by the trash and file versions, review retention periods and adjust user quotas. For a lasting fix, you can increase the VDS disk space from the panel or move archive data to separate storage with the External Storage app.

No. Nextcloud major versions cannot be skipped; if you are several versions behind, you must upgrade to each major version in turn. Take a backup before each step and check that the third-party apps you use are compatible with the new version.

For organisations processing personal data, the country where data is stored and who controls it matter under laws such as the GDPR and Türkiye’s KVKK. Running Nextcloud on a server you manage in a data center in Türkiye makes the data location clear. Plan technical measures such as access logs, encryption and backup policy separately.
